Appoint a principal

Complete a NOVO1t form to create a new appointment record for a principal.

The principal's salary and allowances are all advised to the Novopay Service Centre by the Ministry of Education, so the school doesn't need to add them on the form. 

The new principal will also require access to Novopay Online, and may require KiwiSaver enrolment.

Send employee forms in good time

It is recommended that you send any required forms to the employee with their appointment letter, to ensure they are paid correctly on their first pay day. Include a covering letter that explains what to complete, and provide a timeframe for them to return the forms.

  • Read through the following checklist to determine which forms to send.
  • See the Payroll calendar to determine the cut-off date for instructions in their first pay period. 

Checklist of tasks

  • Complete the NOVO1t form for the new principal.
    • Check the new principal's registration details against their practising certificate and record them on the form. See Registration.
    • Ask the new principal to complete a tax code declaration IR330 form. Transfer the tax details to the NOVO1t form and keep the IR330 form in the principal's file. See Tax codes.
    • Complete the KiwiSaver details on the NOVO1t form. See KiwiSaver for a new employee.
  • Print a copy of the NOVO1t and obtain the principal's and board representative's signature. It is recommended that you file the signed form in the employee's file.
  • Send the completed NOVO1t to the Novopay Service Centre. 
  • Check the fortnightly Transaction/SUE reports to ensure they are added correctly. See Manage tickets.
  • Complete a NOVO5 form for the new principal to request access to the Novopay Service. This must be signed by a board representative. Post the signed original to the Novopay Service Centre.

If you have more than one NOVO form to send to the Novopay Service Centre for this employee, attach each form to a separate email. See Sending forms.

Record keeping

Keep the following forms in the principal's file:

  • Signed original of the NOVO1t form
  • Copy of the signed NOVO5 form
  • IR330 tax declaration form
  • Copies of KiwiSaver forms, if applicable.
