Welcome to the first edition of our Payroll Update! As mentioned last month, we're renaming this newsletter as we continue building EdPay, our service that will increase the accuracy and efficiency of the schools' payroll. We have more information on our progress with EdPay below.

Donna, our former School Account Team Manager (and previous face of this newsletter) has moved on to a different role in the education sector and I will be acting manager until further notice. I've been with Education Payroll since 2014 and have seen many exciting changes in that time and so I'm looking forward to our next steps.

Our priorities remain ensuring your school employees are paid accurately and on time and assisting you with your payroll queries.

EdPay is currently being used by 26 schools

On 25 March, a Beta group of 11 schools (10 in Wellington and one in Christchurch) began using EdPay to complete a small number of payroll tasks such as updating employees' personal information and ending contracts.

An additional 15 schools were given access to EdPay on 27 May. At the same time, new EdPay functions were made available to the entire Beta group.

This included updating contact and financial details for employees (e.g. email address, bank account number) and adding a new employee to their school. These schools can now use EdPay to set up employees, change their personal and financial details as well as terminate their contract.

We have given presentations and demonstrated EdPay in Wellington, Auckland, Christchurch, Rotorua, Horowhenua, and Hamilton, with more planned for Dunedin and other locations. Attendees have included payroll administrators and principals such as yourself - those who will be using EdPay in the future. They've been giving us plenty of feedback which helps influence our design, build, and eventual roll-out.

We are working towards making EdPay available for all schools. We are not ready to say when specific schools will get it, but we will know more based on the Beta group's usage and the feedback we receive from those schools.

When it is time to make EdPay available to you, you will still have support from a dedicated Payroll Adviser. Keep an eye on this newsletter for further updates in the future.

Payment for Strike action will be recovered this pay day - 19 June

Employees who participated in industrial action on 29 May will not be paid for the hours they were on strike.

Payment for strike action will be recovered based on the information supplied in the Industrial Action Spreadsheet that was returned by schools. This will be visible on your SUE reports and on employee payslips for PP202006.

School Caretakers', Cleaners' and Canteen Staff Collective Agreement Variation

We have now implemented changes resulting from the recent variation to the School Caretakers', Cleaners' and Canteen Staff Collective Agreement.

The updated School Caretakers', Cleaners' and Canteen Staff Collective Agreement is available on the Ministry of Education's website.

Please note: From now on all employees under the latest School Caretakers', Cleaners' and Canteen Staff Collective Agreement or IEA will have their increments standardised in Pay Period 02 each year. This means that we can no longer apply increments for these employees throughout the year. If a school wishes to make a change in salary for these employees, please contact your dedicated Payroll Adviser.

Minimum wage adjustments

Education Payroll recently took steps to ensure that all teachers were paid on or above minimum wage from 1 April 2019 and that anyone who was paid below this rate received back pay owed.

All employees are now paid on or above minimum wage and the payroll system will automatically update to ensure employees stay on or above this rate in the future.

During this work, it was uncovered that some teachers were paid below minimum wage at a point prior to 1 April 2019. Affected teachers will receive back pay in their 19 June pay.

For impacted schools, this is visible on your SUE report. Employees will be notified via their payslip.
