News for School Payroll Staff


Happy New Year, I hope you had an enjoyable vacation break, and that you are easing back into work.

In this edition of Novopay News we provide you with some timely reminders, as we require all annualisation (Novo23) forms in by the form deadline for PP23, which is close of day Monday, 25 January 2016.

Also included in this edition is information about annualisation holidays and the 2015 Annualised Employees' top up payment.

I'd like to remind all principals that provisional staffing roll changes are effective from 28 January 2016, and will be paid in PP23 (20 January - 2 February 2016).

Some handy hints are included on how the pay ending tool can help you manage information on employees whose occupancies are due to end soon.

Wellington Anniversary day is Monday, 25 January. It is a holiday for many of us here in Wellington, but we will have a team working. If you need any assistance, please give us a call.

Start of Year (SoY) 2016

All Start of Year tasks that can be completed online should be completed in the Start of Year screens by 25 January 2016. As you will understand, at this time of year it's important to meet the deadlines, so that staff are paid correctly.

Remember, we have Start of Year Instructions available and you can access the SoY Self-paced Learning Modules at any time to assist you.

Pay Ending Report

This is a reminder that the pay ending report can be used to:

  • identify employees whose occupancies are due to end soon, and who will not be paid after their occupancy ends, and

  • terminate employees who have already left your school, but have not been terminated.

If you need to check which employees you still need to process for Start of Year, the Pay Ending report is a useful tool. If an Employee, regardless of their status, is displayed on the Pay Ending report and is not restarted their pay will cease on the date displayed on the Pay Ending report.

Annualisation 2016 and Anniversary days - Reminder

Annualisation is a method of payment, and it is an employee's choice. We have prepared more information which you can access here.

Please note it is possible that employees could have both the 2016 and 2017 anniversary day included in the 2016 annualisation period if the person is employed in the Wellington, Auckland or Nelson regions. See here for the explanation of when this could happen.

2015 Annualised Employees' top up payment

This is a reminder that each year eligible annualised employees are due a holiday pay top up payment in PP22 (7 - 19 January 2016). We posted an alert on this, you can read more here.

Principals' provisional staffing roll changes in PP23

This is a reminder to principals that provisional staffing roll changes are effective from 28 January 2016, and will be paid in PP23 (20 January - 2 February 2016).

The key pay related changes include Roll Based Salary (U-grade) and allowances, these are:

1. Staffing Funding Component (SFCP)

2. Decile (DEC)

3. Leadership (LLN for Primary, LRYP for Secondary, ASPP for Area)

These changes will be visible on the 2st Draft SUE report on Monday, 02 February 2016.
