News for School Payroll Staff

Start of Year screens closed last week and I'd like to thank everyone who took part in our End of Year/Start of Year (EOY/SOY) process. Your instructions help us ensure employees are paid correctly during the December-January holiday break, and are set up correctly to begin the new school year.

Below are details about an EOY/SOY survey that I would love for you to complete. Your input is vital for us to be able to improve on the current process.

End of Year/Start of Year survey

Start of Year screens closed in Novopay Online on Thursday 28 February.

We would appreciate it if anyone involved in EOY/SOY 2018/19 complete a short survey to help us improve the process for 2019/2020. At the end of the survey, there's a free text box where you can let us know anything else we can do to better support you.

Special Tax Codes

As mentioned in 08 February's edition of Novopay News, employees with a Special Tax Code (STC) need to correct their tax code with Inland Revenue and Education Payroll before the end of the tax year. If this is not completed, their tax code will default to a no-notification code - which is currently taxed at 45%.

There is still time to send in a new tax code to have it changed from Pay Period 01 (begins 27 March).

If your employees have any questions or concerns regarding this process, please ask them to contact Inland Revenue on 0800 227 774.


Authorised User payroll responsibilities

During the start of year we have a lot of changes at schools to those who can access Novopay Online and complete payroll tasks via form. We'd just like to remind you (and inform those who are new) that our Information for Novopay authorised users page outlines the key payroll responsibilities for schools. These include:

Booking sick leave for timesheet-only employees

Sick Leave for timesheet-only employees needs to be booked using a NOVO12 form and cannot be processed using Novopay Online.

Novopay Online will default to 8 hours for timesheet-only employees and could potentially cause an overpayment.


Reminder: NOVO5 and NOVO5c accepted by email

If you need to set up a new Authorised User for your school, or cancel access for someone who no longer administers your school's payroll, NOVO5 and NOVO5c forms can be sent via email.

Download the latest version from the website and email the completed form through to support@novopay.govt.nz.

Please note that both the NOVO5 and NOVO5c still needs to be signed.
