Enrol an employee in KiwiSaver

If an employee is eligible to join KiwiSaver, they must either be auto-enrolled when they start a new job, or they can opt in if they are exempt from auto-enrolment.

Auto-enrolment

When an employee starts a new job, they must be auto-enrolled in KiwiSaver if they are not already a member and they are eligible. Auto-enrolment usually occurs when the employee is new to the school. See KiwiSaver for a new employee.

However, if an employee was initially employed under a temporary contract for less than 28 days and the contract is extended beyond 28 days, they are no longer exempt from auto-enrolment. They must be auto-enrolled on day 29 if they are not already a member and they are eligible. In this case, do the following:

1. Provide the employee with these documents:

2. Email these forms to the Novopay Service Centre with the NOVO2t/NOVO2nt form:

  • KS2 form - only if the employee has specified a 4% or 8% contribution rate.
  • KS10 form - only if provided by the employee. For rules around opting out, see Opt-out requests (Inland Revenue website).

3. It is good practice to also complete and file a KS1 - KiwiSaver employee details form. Do not send this form to the Novopay Service Centre.

Notes:

  • Scanned copies of KiwiSaver forms can be attached to the same email as the NOVO2t/NOVO2nt form. 
  • If you do not send the completed KS form(s) with the NOVO2t/NOVO2nt form, you can send them later with a NOVO29 form.

Opting in

If an employee is not automatically enrolled, but they are eligible to join KiwiSaver, they can opt in, either through their own provider or through a school at which they currently work.

If the employee wishes to opt in via the school, do the following:

1. Provide the employee with these documents:

2. Email the completed KS2 form to the Novopay Service Centre with a NOVO29 form.

3. It is good practice to also complete and file a KS1 - KiwiSaver employee details form. Do not send this form to the Novopay Service Centre.

Note: A scanned copy of the KS2 form can be attached to the same email as the NOVO29 form.

Record keeping

File the original signed copy of the following forms at the school:

  • KS1 - KiwiSaver employee details form
  • KS2 - KiwiSaver deduction form
  • KS10 - New employee opt-out request form, if the employee has opted out of KiwiSaver.
