End of Year processing

A big thank you to the schools who have begun or completed their End of Year processing.

Please remember you need to have your information submitted before the End of Year screen closes at 5pm, 22 November to ensure that all your employees are paid correctly over the holidays.

You cannot change your school's term 4 2023 end date after the End of Year screen closes.

It comes down to answering these four questions:

  1. Is your school's end date for term 4 2023 correct?
  2. Which employees' jobs are ending (terminating) in term 4 2023?
  3. Which continuing employees will have a last day for 2023 that is different to your school's term 4 end date?
  4. Have you booked annual leave for your 52-week workers?

Key dates

12 December

Main pay day for pay period 19 – lump sum holiday pay is paid for:

  • term-time only
  • timesheet only employees
  • returning teachers who started after 7 February 2023 and therefore didn’t pass the full-year test.

15 December

Second pay day for pay period 19: 

  • termination pay is paid for employees whose roles were terminated on or before 12 December 2023
  • out of cycle payments.

22 December

Main pay day for pay period 20:

  • public holidays are paid out for eligible timesheet only employees
  • termination pay is paid for employees whose roles were terminated on or before 26 December 2023.

29 December

Second pay day for pay period 20 – out of cycle payments.

Terminating jobs

If an employee is not continuing at your school in 2024, you will need to terminate their job. When their job is terminated, these employees won't receive any payments after their contract ends.
Please make sure they are not returning to the same job in 2024 before terminating their job.

Termination pay dates

If the job termination date is between 29 Nov–12 Dec 2023, the termination pay will be paid on 15 December 2023.
If the job termination date is between 13 Dec–26 Dec 2023, the termination pay will be paid on 22 December 2023.

Annualisation form EP23nt ready now

The 2024 EP23nt is available now on the EdPay and forms page (EdPay.govt.nz)

Annualisation is the process of spreading out the earnings of support staff who work during term-time only, into equal fortnightly pays throughout the year (including during school holidays).

Phone hours during End of Year

While you are doing your End of Year processing, our phones will be stay open for longer from 15–22 November. They will be open from:

  • 9am–4pm from 15–21 November, and
  • 8.30am–5pm on Wednesday 22 November.
