Welcome to the latest edition of the Novopay News.

Winter is with us, I hope you are all able to keep dry and warm over the coming months.
In this edition of Novopay News we have information about the Virtual Network Teacher Designation Codes. We are continuing to look at ways to improve our forms to ensure they are easier to use and also provide us with all the information needed to process your payroll instructions accurately.

Virtual Network Teacher Designation Codes

Teachers employed in the Virtual Learning Network (VLN) or a Community of Online Learning (COOL) can now be clearly identified on your Staff Usage and Expenditure Reports (SUE) by the following new designation codes as from PP07.

If you have any employees who are employed in either of the above virtual networks, you will need to complete a Novo2t - Pay Details Change for teachers, advising us of their correct Designation code and date applicable. Please note that these new codes have only been aligned to the dates of the latest teacher's collective agreements and matching IEAs.

Ending Fixed Term Jobs

When a fixed term job has ended and is not going to be extended, schools are required to submit a NOVO6 to terminate the position as the employee could be due holiday pay. Fixed term positions are not automatically terminated once the end date has passed, it is the schools responsibility to terminate an employee once their fixed term has come to an end. You can do this using Novopay Online by going to 'My School > Employee Changes > Employee Changes' and select 'Bulk Terminate Employees'. Alternatively, you can submit a NOVO6 to instruct Novopay to terminate the position.

Please refer to your school's Pay Ending report which displays employees whose job is due to end in the next 90 days or who have already left your school.

Accidents - NOVO12acc Form

If you have an employee who has had an accident (work or non-work related), you must notify Novopay by completing and submitting a NOVO12acc Form. This will ensure that your employee is paid accurately and on time. The latest version of the NOVO12acc can be found on the forms page of the Novopay website.
