News for School Payroll Staff

Almost there! Thanks to everyone for all of your End of Year work. Start of Year (SOY) screens opened today for 2021.

Start of Year
Need help with SOY? Novopay Online has a self-paced learning module and a Start of Year Guide, depending on the level of support you need. There's also a new Start of Year actions tool to help you to decide whether to make your Start of Year changes in EdPay, Novopay Online or by forms. It's all on the Novopay website - check out the orange Start of Year 2021 box on the home page.

SOY reminder - if your staff member is starting on 9 February 2021 or later, you will need to restart them from 7 February.

Key dates

9 December - SOY opens for 2021
10 December - draft SUE day for PP19
14 December - second draft SUE day for PP19 (includes the termination pay)
16 December - pay day for PP19
18 December - cut-off date for Novopay Online and manual forms for PP20
22 December - draft SUE day for PP20 (includes the termination pay)
24 December - final SUE report for PP20
30 December - pay day for PP20

Extended phone hours for SUE report queries
We've extended our phone hours for SUE reporting - for Thursday 10 December (draft SUE day) to Monday 14 December (final SUE day), our phone hours will be from 9am to 4pm.

Timesheet only employees and public holidays

Timesheet only employees who are eligible for public holidays (Christmas Day, Boxing Day and New Years Day and New Years holiday) will be paid these in pay period 20, based on their timesheets paid in Pay Period 18 and Pay Period 19. This is the only time we automatically pay public holidays to these employees.

Tell us who to contact during the break
Sometimes we need to check your EoY information after schools have closed. We need the name, email address and phone number of your school's lead payroll administrator (or principal), as your school's number probably won't be answered then. If you've already told us, you don't need to do anything. Otherwise let us know the right contact by email to with 'out of hours contact' in the subject line.

ACC claims

For employees who will be on ACC leave during Term 4 holidays:

  • if they are still unfit to return to work throughout the holidays, they should ensure they continuously provide ACC with a Medical Certificate
  • if they are receiving weekly compensation directly from ACC and will also receive holiday pay from the schools' payroll in pay period 19/20, they need to inform ACC about these payments.
  • if they are a 52-week employee who is still on ACC leave, the school will need to continue to submit a NOVO12acc leave booking form (PDF).
