New EdPay functions coming tomorrow

We'll be flicking the switch on our new EdPay functions tomorrow. You'll be able to do timesheets, leave, password changes and check out reports (School Attestation, Staff Usage and Expenditure (SUE), Banking Staffing, Banking Staffing RTLB, School Leave). Our Beta testing has gone well and we'll be making a few enhancements down the track, based on the feedback we received. Look out for an email to confirm that it's all go.

Holiday pay reduction for teachers due to unpaid leave

If a teacher takes unpaid leave during a school term, a holiday pay reduction may be needed. At the beginning of each vacation period, required holiday pay reductions are calculated for all teachers who have taken unpaid leave during the term just completed.(In some instances, further holiday pay reductions are required resulting from prior terms.) The holiday pay reduction will be made from the employee's pay that falls over that vacation period. As each sector has its own set of Holiday Pay Reduction calculation rules, we have created a useful table with links to each collective agreement. Reminder to use Tiaki (previously Dirty Work) allowance code

Please use the code TIAKI (instead of DIRT) when entering a timesheet claim for your support staff employees loaded under the Support Staff in Schools' Collective Agreement 2019-2022 or the IEA based on this CA.

Useful tips for sending a salary assessment application

  • Download a new Salary Assessment Application Form from the Novopay website to ensure you have the most up-to-date version (last updated 16/3/2021).
  • Please type all the details required into the form. Handwriting can lead to errors.
  • Check the frequently asked questions, Salary Assessment Application Manual, and quick checklist on the Salary Assessment page before sending the application.
  • Please do not reply to closed tickets, as Education Payroll staff won't see the email. Instead, please contact our team on 0508 668 6729, option 3 for queries or concerns. This service is available to both school authorised users and non-authorised users/the public between 9.30 and 3.30 Monday to Friday.

Employees on continuous ACC Leave

If your employee is still on continuous ACC Leave or still covered by the Accident Compensation Corporation (ACC) scheme,you will need to continue to submit a NOVO12acc leave booking form (PDF). For more information, please visit our ACC page.

Designation codes and pay equity claims

There are several pay equity claims either recently raised or under investigation in the education sector. Any employee whose work is within the scope of a claim will be entitled to the benefits of a pay equity settlement if this is the outcome of the claim. If they are not on the correct designation code at the time of a potential settlement however, they will not be paid any adjusted rates or entitlements.

If an employee is not currently on the correct designation code, you should change the code and backdate it to the date that they started their role. The science technician code - S89 - can only be backdated to 27 November 2020, the date that it was created. Designation codes can be changed either on EdPay pay details change page or on a NOVO2nt form.

Example
For employees performing multiple different and separate roles, here is an example of what to do:
Jane is working 10 hours as an administrator and 10 hours as a librarian. For her 10 hours as an administrator, she must be set up with an administrator designation code. For her 10 hours as a librarian, she must be set up under a librarian designation code with a separate job number.

Designation codes also help us with notifying new employees whose work is covered by a claim. For example, when an administrator starts employment, contact information from payroll is used to send employees a notification letter and factsheet outlining their rights and options under the Equal Pay Act 1972.
