News for School Payroll Staff

I hope those of you who have a break during the school holidays are enjoying the time off. Payroll doesn't stop though, so we know some of you work all the way through. We're working hard too and are only a phone call away if you need any help.

I know affected union members will welcome the news that the lump sum payments of $1,500 (pro-rated for part time teachers and relievers) will be made to eligible union members in Pay Period 9 (pay day 31 July).

The adjustment of new pay rates and back pay for eligible union members, effective from 1 July 2019, will be made in pay period 12 (pay day 11 September).

We were very pleased with the response from schools who are interested in trialling EdPay. We will be making it available to an additional 174 more schools early in Term 3, bringing the total of schools with access up to 200. We'll be seeing how they get on before bringing in more schools.

Answers to your EdPay Questions

What training will be involved?

All support for using EdPay can be found inside EdPay itself. Our current schools have told us they find EdPay very straightforward to use, but we will keep exploring how we can make further improvements. Your dedicated payroll adviser remains available for any help you may need.

Is EdPay compatible with other payroll software?

EdPay currently isn't being built to be compatible with other software. Our goal is to create a service that doesn't require any additional software or forms to manage your school's payroll. It will become the single source of all things payroll for your school.

Can we submit timesheets in EdPay?

Not yet, as we are still building this feature. We will let schools know in advance when timesheet functionality will be available in EdPay. We're also talking with schools who submit a lot of timesheets (including Adult Community Education Centres and Universities who have unique requirements).

Will schools still get SUE reports?

Yes, SUE reports continue to be available in Novopay Online and should be checked every pay period.

NOVO2t and NOVO2nt - only fields 1 to 6 are mandatory

If you're submitting pay change details via these forms, you don't need to fill out the entire form. Just complete the first 6 fields so we can identify the employee, job number, and effective date.

Once these fields are complete, you only need to fill in the relevant section for the change you're wanting to highlight. If you complete the entire form, your payroll adviser has to spend more time checking everything, rather than just quickly making the change.

Changes to KiwiSaver from 01 July 2019

Employees 65 and over

Employees who are 65 and over are now eligible to join KiwiSaver (but will not be eligible for employer contributions). New members will no longer be locked in to the scheme for five years. Members between the ages of 60 to 64 (inclusive) who enrol on or after 1 July 2019 will be able to withdraw their KiwiSaver funds at 65.

Opting out of KiwiSaver

New employees who are eligible must be automatically enrolled in KiwSaver (temporary and casual workers may be exempt), but new employees can now choose to opt out. If they don't opt out, deductions will continue to be made from their pay.

Other schemes and KiwiSaver

An employee who is an active KiwiSaver member is subject to KiwiSaver rules even if they are also a member of another scheme. The KiwiSaver deductions must be set up from the employee's gross salary or wages and employer contributions made including employer superannuation contribution tax. Note: If employees are getting greater than 3% employer contribution on an alternative scheme they will not be eligible for employer contributions on KiwiSaver.

New Government Superannuation Fund Rate

For school employees who are members of GSF, the employer subsidy rate will automatically increase from 13.4% to 14.4% effective from Pay Period 8 (payday 17 July). The employee/member contribution rate remains unchanged at 6.5%.
