News for School Payroll Staff

We're in the middle of the Term 3 school holidays, and I hope you're having a little bit of a break before Term 4 begins.

We're busy preparing for End of Year/Start of Year and if you haven't had a chance to look at the resources available to assist you, check the Novopay homepage. They're available in the red "End of Year TOOL BOX".

Thank you to everyone who sent in email addresses to be updated for employees. The response has been huge with a nearly 25% reduction in employees receiving paper payslips already. Apologies if we haven't yet loaded your staff's email address into the system - we've had a lot to work through! More information on discontinuing paper payslips can be found below.

Changes to Labour Day pay cycle

Labour Day means there needs to be a change to the pay cycle. Instead of getting three SUE reports for the pay period, you will only receive two. You will receive the First Draft SUE report on Thursday 18 October and then the Final SUE report on Monday 22 October.

This means you will not get a Second Draft SUE report or have any opportunity to make adjustments on Labour Day itself (Monday 22). Please check your First Draft SUE report very carefully and let us know any changes that need ASAP.

Full STOP PAY's will continue as normal on Tuesday 23 October.

All payslips via email from 24 October

As mentioned in a previous Novopay News, we will be discontinuing the use of posted payslips and solely sending them out via email.

10 October 2018 will be the final pay for which payslips are posted to employees (next Wednesday).

There was a note on all paper payslips last pay period advising employees to get in touch with their school's payroll admin to ensure that their email address is up-to-date in our system. Thank you to everyone who updated our records.

If you still need to add or update an employee's email address, you can just send us an email with the details. Put "Email address" in the header, then provide the employee's MOE Number, Employee Name and the email address. Send it through to (On this occasion only, please don't use Novopay Online to change the employee's email address. We'll do that in the system.)

Holiday Pay Guide now available

Our Holiday Pay Guide has been updated for 2018/19 and is available on the Novopay website. The Guide can be used to explain how an employee's holiday pay is paid out over the Christmas period.

End of Year screens open 10 October

Make sure you've read our End of Year Special Edition of Novopay news as it contains plenty of information to help you through the EOY process. If you need any further assistance, don't hesitate to contact your dedicated payroll adviser.

End of Year screens open this coming Wednesday 10 October and close 5pm Monday 26 November.

It's important that you've entered all the information for your school and clicked "EOY COMPLETE" before screens close. Failure to do so can result in your staff being paid incorrectly over the holiday period.

Booking ACC Leave for 52 week employees and employees with low sick leave balance

It is very important to complete and submit a NOVO12acc form if you have:

  • a 52 week employee who is on ACC leave during the school holidays


  • an employee who is away due to ACC work or non-work related reasons and has low sick leave balance

This will help ensure that their leave is booked and they are paid correctly. If the leave is not processed or advised in a timely manner, complications can arise between all parties.

A medical certificate is not required when completing and submitting a NOVO12acc form. If you require more information, please visit our ACC pages at the top of the A-Z of payroll, or you contact one of our ACC Advisers via 0508 NOVOPAY (0508 668 6729) and choosing option 4.

Reminder: Only Authorised Users can contact about employee pay

If an employee has questions about their pay, please don't advise them to contact us. For security and privacy reasons, we can only discuss pay details with schools' Authorised Users and Principals on an employee's behalf.
