News for School Payroll Staff

Welcome to the new edition of Novopay News.

This issue covers managing sick leave when sick leave balances are low and provides some tips about managing higher duties allowances when staff go on study leave.

Your ACC invoices are now available - remember the levies will be deducted from your school's bank account on September 6.

Some of our staff went to the CESSL conferences in Christchurch, Wellington and Auckland and we have an item about how they got on.

ACC - Low sick leave balance and making a timely payroll decision

If you have an employee away from work we suggest you decide whether to book it as paid leave or leave without pay in time for the pay period cut off.

It is best if you do not wait for a medical certificate before you process the leave or submit a Novo12 leave booking form, especially when there is a low sick leave entitlement.

The issue is that if leave is not processed or advised in a timely manner, complications can arise between all parties involved in the claim management.

Your leave decision can be changed after the leave has been processed if you need to. Medical certificates can also be used for audit files if required.

If you are really unsure, send a completed Novo12 to by the forms cut off time and ask for a call back from the Novopay ACC Team.

We will contact you once we get the Novo12.

ACC - Levy invoices available

Your annual ACC levy invoices are now available via Novopay Online (NOL). To access the invoice, log in to NOL, visit the My Reporting tab and choose ACC EOY.

This is your 2016 ACC annual levy invoice. The levy is based on net leviable earnings and will be deducted from your school's bank account on 6 September 2016.

EPL staff get good reception at CESSL conferences

EPL staff attended three CESSL School Office Administrators' conferences - in Christchurch, Auckland and Wellington.

"We ran a series of Novopay workshops which were well supported with a good number of attendees," says Capability Adviser Shirley Walls.

"The feedback has been really positive. Attendees said it was a really good presentation and gave good information".

The topics covered were:

  • The school payroll cycle and the implications for school processing deadlines
  • ACC
  • Key payroll calendar activities
  • Terminations
  • Overpayments; and
  • The new School Account Manager system (see previous newsletter).

Tip - getting funding approvals for higher duties allowances

When a principal or teacher takes sabbatical leave it is likely you will need to arrange higher duties allowances for the people covering for them.

The person going on leave will get a funding approval notice from TeachNZ.

The funding codes provided in the notice can cover the costs of paying someone a higher duties allowance during this time that the teacher or principal is away.

You will need to include a copy of the funding notice when you submit the (Novo28t).
