Hello and Welcome,

I'd like to introduce myself. My name is Mathew Gordon and since April this year I have been managing Education Payroll Limited's Service Desk and Support areas based here in our Wellington office.

For the past 15+ years my background has involved managing contact centres across a number of service based industries. As such, I am passionate about service delivery and am excited about what we in the Service Desk & Support area can do to continue our journey towards providing excellence in service to you, our customers.

As you know, Education Payroll Limited is a relatively new company established to take over the delivery of the schools payroll which is the largest in New Zealand, paying 90,000 school employees (principals, teachers and support staff) in 2,500 schools every fortnight.

One of Education Payroll Limited's key objectives is our commitment to our customers and looking for ways we can improve the efficiency and delivery of our payroll service.

I look forward to providing you with updates in the future on the activities we are completing to help achieve that objective.

Lastly, I'd like to acknowledge that it's a busy time of year for schools and many of you will also be completing the leave process we currently have in place. If you haven't completed the leave process as yet, please remember we are working towards a Monday 14th September deadline.

Changes to sick leave entitlements for secondary teachers

From 11 September, there will be a change to sick leave entitlements for secondary teachers.

After they have reached 40 years and 6 months of service, eligible employees will receive five further days sick leave entitlement for each year of service, as per Table B. This will mean more consistency with employees who are eligible for sick leave as per Table A.

This entitlement will show in the new fortnightly report, which will be available to schools from 30 September 2015.

This change will not be applied retrospectively, so for the Leave Balance Confirmation process schools should continue to refer to the employee's entitlements as at 4 August 2015.

Leave management

Leave Balance Confirmation process

The deadline for sending in CSVs is 14 September. If you have not yet submitted your CSV to the Service Centre, you will need to make sure it's completed and sent by this date. The Service Centre will continue to process CSVs and liaise with schools after the deadline, as required.

You will be able to access the confirmation instructions and your school CSV/PDF for a few days after the deadline, after which time they will be removed from Novopay Online and the website.

With the leave balance confirmation process about to finish, please revert back to normal processes for leave bookings or leave balance enquiries. See Leave management for more information.

It is important to record all leave bookings in the Novopay payroll system. This ensures schools are complying with the Holidays Act 2003 and balances are kept up to date.

Thank you to all those schools who have submitted CSVs to date.

School Annual and Sick Leave report

The School Annual and Sick Leave report will be available via Novopay Online from 30 September.

This fortnightly report provides current information about leave entitlements, bookings and balances for employees at your school. This report will help schools approve leave requests, monitor employee leave and minimise financial risks.

School email contacts

Help us make sure that the authorised user list is current. It's vital that this list is kept up to date.

To add a new user, complete a Novo5.

To change an email address or access type, complete a Novo5 and tick the box "change to an existing user's details".

If a staff member who was an authorised user has left the school, complete a Novo5c to cancel their access. It is important that you do this for security reasons.

The authorised user list is also used to email this newsletter. If the address is no longer current or the person has left it sends back an auto-reply stating:

"A message that you sent could not be delivered to one or more of its recipients. This is a permanent error."

Your 2015 ACC annual levy will have been deducted

Your ACC annual levy invoice amount will have been deducted from your school's bank account on 8 September 2015.

To access your invoice, log in to Novopay Online, go to the My Reporting tab and choose ACC EoY (invoice to schools) and select 2015 invoice.
