Improvements to NOVO forms

Education Payroll Limited continues to improve our processes and the service we provide to you. We're making changes to some existing NOVO forms. We want to make these forms easier to complete to save you time and to reduce the chance of input errors.

Which forms have been updated?

Pending testing, we will be releasing improved versions of the NOVO2t, NOVO2nt, NOVO16t, NOVO12r and NOVO21 in the coming weeks.
The new version of the NOVO12r will enable you to reverse and re-book leave using one form.
For the other forms listed, what you can do with the forms will not change, but the way in which you need to complete it will.

What do I need to do next?

When the forms are ready for release they will be available for download in the same location as current NOVO forms and an alert will be sent to notify you of the change. Until then, you can continue to use the current versions of the above listed forms.

To make sure you are using the latest version of any form, you should always download the original from the Novopay website.

Leave Management Update

The multi-school process is now underway. We have had several enquiries asking why the multi school list attached to the email did not include leave balance information for these teachers/principals. The purpose of the list was just to advise who your multi-school teachers were.  As per the multi-school instructions, the only step you need to take with these employees is to ensure that all the paid sick leave bookings for those teachers/principals are up to date in the Novopay payroll system. You don't need to check the leave balance information for these employees.

Training on the Leave Balance Confirmation process has begun and runs until Friday 14 August. After this time, the training will remain available as a self-paced learning module. We have had a great uptake on the training and feedback has been positive. If you haven't yet attended the training, places are still available and can be booked via the Novopay website.  The Leave Balance Confirmation instructions are also available.

A self-paced learning module in leave management is also now available. This module aims to give authorised users an improved understanding of leave management and associated payroll activities.

We will be sending an email to principals and school-wide administrators, prior to the confirmation process beginning on 10 August, with some key tips we learnt from the pilot which is now nearing completion.

Final pay slip for the tax year 2015 - Year to date information

Inland Revenue has been receiving enquiries from Education sector employees querying their earnings that were filed with Inland Revenue for the 2015 tax year.

Unfortunately the PP2601 payslip (pay day 1 April 2015) incorrectly included the total earnings for the 2015 tax year in the Year to Date section.  Although this was corrected from PP2602 onwards, this may cause some confusion if employees are looking to use the PP2601 payslip as proof of earnings.

This error does not affect employees earnings which were correctly lodged with IRD for the 2015 tax year, or the current 2016 tax year.
If employees require their total year to date earnings for the 2015 tax year, please refer them to their PP2526  payslip.

Employee email addresses

Please update your school employees' contact email addresses.

Education Payroll Limited are experiencing significant numbers of payslip email delivery failures due to incorrect employee email addresses.

For pay period P2609 Education Payroll Limited received notification of 1088 email delivery failures.

We would really appreciate all authorised users checking with employees and updating where necessary the correct email address for their employees' contact email addresses in Novopay Online (NOL).

Please make sure there is only one email address listed so there is no confusion as to which one the system is to use when sending out payslips each pay day.

2015 ACC annual levy invoice available 11 August

Your ACC annual levy invoice will be available via Novopay Online (NOL) from 11 August 2015. To access the invoice, log into NOL, visit the My Reporting tab and choose ACC EOY (invoice to schools).

This is your 2015 ACC annual levy invoice. The levy is based on net leviable earnings for the tax year ended 31 March 2015, and will be deducted from your school's bank account overnight on 8 September 2015.

Please ensure there are sufficient funds available in your bank account on 8 September for this deduction.
