It is March already and the year seems to be flying by.

In this edition we have stories on the minimum wage, bereavement leave and non-teaching employees Easter and Southland anniversary entitlements.

Also our Capability Advisors continue their series of handy hints this time offering some good advice on that seemingly endless chore - filling in forms!

Minimum wage to increase to $15.75

In January the government announced the increase to the minimum wage.

The annual review of the minimum wage means it will increase by 50 cents to $15.75 an hour on 1 April 2017.

The starting-out and training hourly minimum wage rates will increase from $12.20 to $12.60 per hour, remaining at 80 per cent of the adult minimum wage.

Novopay will automatically adjust the wage rates of affected staff.

Bereavement/Tangihanga Leave

We get queries about booking Bereavement / Tangihanga Leave. Here is some helpful information.

Novopay Online (NOL) allows paid Bereavement Leave bookings of up to three days at a time.

If a staff member is entitled to more than three days and is taking more than three days paid Bereavement Leave;

  • Process multiple entries in NOL of a maximum of three days per line. Save and Submit

Note: NOL also allows for unpaid Bereavement Leave bookings.

Schools should refer to the appropriate Collective Agreement or Individual Employment Agreement for details on the entitlement for that employee. The agreements can be found here.

Non-teaching employees - Easter and Southland Anniversary Day entitlements

This is a reminder that 52 week non-teaching employees may not entitled to Easter Tuesday (18 April 2017) as an additional public holiday, if they are now eligible for five weeks annual leave per year. Please complete an annual leave booking for Tuesday 18 April 2017 so they are not over paid salary.

The only exception to this is if the 52 week non-teaching employee is eligible for Southland Anniversary Day (18 April 2017), in which case they will not need to complete an annual leave booking. Please note that you cannot be paid for both Southland Anniversary Day and Easter Tuesday as they fall on the same day.

New Form NOVO16c: Teacher or Principal at a Communities of Learning role

Due to the complexity of the payments associated to the Communities of Learning Roles, we have designed a form dedicated to them - Novo16c. This form includes a drop down of the allowances and their associated rates for each sector.

The form is self-explanatory, but please let us know if you have any questions on it. The Novo16c is added to the family of forms for Communities of Learning. Others include the Novo28a and Novo28b, which are dedicated to the payment of all Higher Duties associated with duties relinquished due to an appointment to a Communities of Learning role. Please note: If a Novo16t is received in listing a Communities of Learning role, this may be sent back requesting to Novo16c to be used.

Software requirements

Most Novopay forms are editable PDF files. A PDF is a type of file that allows information to be easily shared between people with different computer systems.

To open and edit the PDF forms, you need a recent version of Adobe Reader installed on your PC or Mac. SeeSoftware requirements for NOVO forms.

  • Remember to save the form to your desktop or other location on your computer before you fill it in.
  • Type your information into the form, handwritten information may be difficult to read and can lead to errors.

Filling in the form

It is important that you fill in the Novopay forms correctly, to ensure that they can be processed without delay. If a form contains errors or missing information, it will be returned to you, which may cause delays in processing payroll instructions for employees.

  • Download a new copy from the Forms page each time you need to complete a form. (This ensures that you use the latest version).


Before filling in the form, save it to your desktop or other location on your computer. This ensures that the information you type in the form will be saved.
Looking at the form below you must complete all fields on the form that are marked with * (mandatory). If you don't do this, the form will be returned to you.

Signatures on forms

The team at Novopay will process most NOVO forms without a signature. This is because they are considered authorised when emailed from an authorised email address.

However, a school should hold a signed copy of these forms in its files for audit purposes.

There are some forms that must be signed and the original posted in. This is because the original form must be sighted before it can be processed. For a full list of these forms click here.

Post the form to the postal address stated on the form.

When signing forms, ensure the Name and Designation fields are also completed clearly.
