News for School Payroll Staff

Our busy 2019 continues as we work through Pay Period 24. Thank you for your patience during this time, as our School Account Teams respond to all your tickets, queries and calls.

We've had a great End of Year/Start of Year (EOY/SOY) period with schools entering instructions to ensure their staff are set up for the school year. Start of Year screens are currently still open, but close next Thursday 28 February (more information below).

Start of Year screens close next Thursday 28 February

Start of Year screens will close in Novopay Online on Thursday 28 February.

If you are unsure whether you have completed SOY for your school, you can check the Pay Ending and SOY reports to ensure the dates, hours, and allowances for the employees at your school are correct.

Requesting an offset for any overpaid employee

If you are sending in an instruction which will mean your employee was overpaid in the previous pay period, please ask the employee to consider signing an overpayment offset letter.

An offset letter will avoid the overpayment needing to be directed to our debt management unit for calculation and recovery.

Please fill out and have the employee sign this Overpayment Offset Letter (PDF). Submit it along with the relevant payroll instruction.


Place more than one employee on NOVO forms

Make sure you take full advantage of the space we have on our NOVO forms. Some of our forms, such as the NOVO12 (pictured below) have space for multiple employees so you can send through many requests.



This means you only have to keep track of one ticket and makes it easier for your payroll adviser to complete everything at once.


NOVO12acc form - employees working partial hours

It is important that if you advise 'Yes' in field 21 of the NOVO12acc form (PDF), you also provide detailed information in field 23. This will ensure that ACC will reimburse your school for the extra staffing requirements.

If you require support in completing the form, please contact the ACC Team on 0508 NOVOPAY (0508 668 6729) and select Option 4.


Please don't reply to closed tickets

When a ticket has been closed, you can no longer contact pay centre by replying on it. If you do reply to a closed ticket, the response will not get through and your payroll adviser will not have access to it.

Please send through a new request, or contact your payroll adviser to discuss a closed ticket.


Reminder: NOVO5 and NOVO5c accepted by email

If you need to set up a new Authorised User for your school, or cancel access for someone who no longer administers your school's payroll, NOVO5 and NOVO5c forms can be sent via email.

Download the latest version from the website and email the completed form through to support@novopay.govt.nz.

Please note that both the NOVO5 and NOVO5c still need to be signed.
