I hope you had a chance to take some time off over the school break and are settling in for Term 2. Now may be a good time to again familiarise yourself with the fortnightly pay cycle which is available as a printable version on our website.

Court fines and other deductions to employee pay

If a school receives a court fine or any other deduction (e.g. from WINZ) for an employee's pay these should be sent into the Novopay Service Centre for processing.

Attach the document in an email, include the type of deduction in the subject line, and email it to support@novopay.govt.nz.


Leave Bookings for 52 Week employees

If required, book annual leave in Novopay Online for 52 week employees that were on annual leave during the recent term break, or submit a Novo12 form for retrospective leave dates. This helps to maintain good leave records for these employees. You can check leave details on your school's fortnightly leave report.


Updates to Salary Assessment forms

We have made some changes to the Salary Assessment Forms (NOVO7t, NOVO17t, NOVO18t, NOVO19t) to ensure that it is easier for you to complete and it is right first time.

The following information has been added:

  • Link for Salary Assessment Web Page where you can find the Frequently Asked Questions
  • Requirement for the applicant and principal's electronic signature
  • Authorisation for Novopay to contact other institutions or individuals regarding the salary assessment application
  • Certified Copies must be scanned in colour

Reminder: Please ensure NOVO5 and NOVO5c forms are signed

Unlike other Smart Forms, the NOVO5 and NOVO5c must be signed to allow or cancel access to Authorised Users in your school.

If the request is for Principal access, it must be signed by the Board of Trustees chair or delegate.

All other access types must be signed by the Principal or a Board of Trustees member.

For the NOVO5, make sure the Authorised User being given access has also signed their section.

Once the form has been completed and signed, send it through to support@novopay.nz.


Reminder: NOVO25nt no longer required

A NOVO25nt is no longer required when cancelling an annualisation. Annualisation can be cancelled when either an employee has terminated their position, voluntarily cancels their annualisation, or has taken more than two consecutive weeks of leave without pay.

Annualisation cancellation details can now be provided on the NOVO2nt (Field 18a) and on the NOVO6 (Field 7). There is no need for an additional NOVO25nt form.
